It happens in studios, classrooms, community spaces, and institutions. But it is the people practicing alongside us, both Disabled and nondisabled, who extend it into the world. ABOUT THE ROLE
Circle O is evolving. While our nimble team of contractors is strong, we recognize a need for someone to help us run the day-to-day and plan ahead. This role is meant to address that.
The Operations Manager will support the operations and administration of Circle O. This is a part-time (~20 hours/week) contractor role, working in close partnership with Founder and Artistic Director Kayla Hamilton. The work focuses on team collaboration, systems and knowledge, communications and marketing, and program support. In practice, this means managing the organizational calendar, coordinating the work of our contractors, and keeping each program on track, all grounded by strong internal systems.
Our candidate is proactive, organized, and experienced in running the behind-the-scenes work of a values-driven organization. You listen closely, anticipate what is next, juggle multiple priorities, and bring clear recommendations rather than waiting for direction. You understand what it means to be both a thought partner and a doer. Others quickly learn they can rely on you to work independently and follow through. You are the connective tissue that will keep us moving.
At Circle O, how we work together matters as much as the work itself. You will be joining an ecosystem rooted in Disabled embodiment and Disabled knowledge, where process and care are part of the work. We bring that same sensibility to this role, and we expect to refine it together over time, so it continues to adapt to Circle O's needs.
THE DETAILS
Rate: $50/hour, paid on a monthly basis.
Hours: An average of 20 hours per week, with an expectation of ebb and flow week over week, balancing out over time.
Term: Onboarding beginning in November 2026, leading into a 12-month contract for 2027, with 3- and 6-month check-ins to reflect on our working relationship and fine-tune the role together.
Location: Primarily remote, but ideally a hybrid role, with in-person operational support provided for dance classes and educational offerings: 1 day monthly, 3 days over a weekend twice a year, and other occasions as needed. Strong, fully remote candidates are also encouraged to apply.
Schedule: Flexible, with a preference for one consistent day each week, mutually agreed upon, for standing check-ins and direct collaboration.
SCOPE OF WORK
The scope of this part-time contractor role is outlined below. It reflects the full breadth of the role, not a constant weekly workload. Some work is steady, while other work occurs seasonally, occasionally, or only as needs arise.
Team Collaboration
Partner closely with the Founder and Artistic Director, managing the day-to-day so she can focus on leading Circle O; this includes meeting regularly with her to align on priorities, share progress, and bring recommendations to support her decision-making.
Act as the liaison across Circle O's team of contractors, connecting people and priorities so the whole organization stays coordinated.
Own the organizational calendar, using it to manage recurring operational and administrative work and keep the team on track.
Handle the administrative side of the contractor lifecycle: recruitment, contracts, onboarding, and offboarding.
Circulate regular updates to keep the team informed and connected.
Attend partnership and program meetings, as needed, to capture notes, updates, and action items.
Systems & Knowledge
Own the Operations Manual, updating it and flagging new gaps or needs as they emerge, so it grows with Circle O.
Document and systematize workflows and program roadmaps, identifying the right cadences based on annual activity.
Maintain the organization's Google Drive and filing, along with its tool stack which includes Mailchimp, JotForm, Calendly, Zoom, and Google Workspace, covering renewals, licenses, and contractor access.
Build resource banks of trusted collaborators, from access doulas and ASL and CART providers to artists, partners, and accessible venues.
Set up a simple, consistent practice for gathering and tracking key data, relationships, and impact.
Prepare agendas, capture notes, and track follow-ups for meetings across the organization when needed.
Communications & Marketing
Project manage Circle O’s quarterly newsletter end to end, coordinating content, assets, and the contributors who draft, finalize, add accessibility features, and send.
Uplift content ideas for the newsletter, social media, and website and coordinate approved directions with the team.
Manage the info@ inbox, surfacing what needs the Founder's attention and responding to inquiries when appropriate.
Maintain the website, identifying and implementing necessary updates.
Write image descriptions for communications as needed.
Build the mailing list by adding and updating contact information.
Program Support
Provide operational and administrative support for Circle O’s programming. Tasks may include:
Support Circle O contractors to administer dance classes (10/year, monthly) and other educational offerings (approximately 4-6/year).
Arrange travel (approximately 6-8/year): book flights, lodging, and ground transport, and create accompanying itineraries and access-aware travel packets.
Support performances (approximately 2-4/year): confirm artist availability, book accessible rehearsal space, and manage artist and venue communication.
Book and coordinate access providers for programs, including ASL, CART, audio description, and access doulas.
Serve as lead project manager for additional efforts as they arise across Circle O's core program areas, where capacity allows.

Draws from relevant experience: brings practice in operations, administration, project management, and/or other functions (programs, marketing, etc.), and a background working with artists of some kind.
